How to choose a UAE e-invoicing ASP
In short: Every UAE business needs a Ministry of Finance-accredited service provider to send and receive e-invoices, and accreditation guarantees only a floor. Providers differ most in how they connect to your ERP, how they handle rejected invoices, how they price, and how easily you can leave. Decide on those four, in that order.
Accreditation means a provider has met the Ministry of Finance’s eligibility criteria and can operate on the Peppol network. It does not make providers interchangeable. This guide is written by a firm that is not a provider and takes no referral fee from one, so the questions below favour your exit options as much as your go-live.
1. How will it connect to your system?
This decides the size of your project. Ask for the exact route for your exact system and version:
- Built into your accounting software — some cloud accounting products are themselves accredited. Simplest, if you are happy to keep your books there.
- A maintained connector for your ERP — named, versioned, with a customer running it.
- An API you build against — flexible, but the mapping work is yours or your integrator’s.
- File upload or portal entry — workable at low volume; a warning sign above a few hundred invoices a month.
2. What happens when an invoice is rejected?
Rejections will happen: a missing buyer Peppol ID, a VAT treatment the validator disputes, a credit note referencing the wrong original. You want a queue you can see, a reason code a person can act on, resubmission without re-keying, and status messages written back into your ERP. Ask the provider to show you a rejected invoice, not describe one.
3. How is it priced?
Compare the shape, not just the headline: per invoice, per tier, flat subscription, or bundled into accounting software. Ask what counts as a document (credit notes, received invoices, resubmissions), what happens when you exceed a tier, and what onboarding and connector fees sit outside the subscription.
4. How do you leave?
You will appoint your provider in the EmaraTax portal and may want to change later. Ask for the notice period, the data export format, how long invoice records are retained for you in the UAE, and whether your Peppol ID moves with you.
Six more questions worth one meeting
- Is your accreditation listed on the Ministry of Finance register today, or pre-approved and pending?
- Do you validate PINT AE business rules before submission, or only after?
- Can you receive as well as send for all our entities from one account?
- What is your uptime commitment, and how do you notify us of an outage we must report?
- Who supports us, in which hours, in English and Arabic?
- Which other systems like ours are you live with?
When the answer depends on your ERP
If your system is SAP, Oracle, Microsoft Dynamics or a custom build, the provider choice and the integration design are one decision. See ERP integration. If you would rather have a vendor-neutral shortlist done for you, that is part of SME Connect.
